Privacy Policy
This policy explains what information the SoftAnalytics Solutions website currently processes when you contact us, request an instant estimate or use Ask SoftAnalytics.
1. Who we are
SoftAnalytics Solutions builds software, automation, analytics, AI-assisted and location-based systems for businesses and organisations. In this policy, “SoftAnalytics”, “we”, “us” and “our” refer to SoftAnalytics Solutions.
2. Information we collect
When you contact SoftAnalytics, save or discuss an estimate, or submit a project note through Ask SoftAnalytics, we may collect:
- your name and email address;
- your company or organisation and phone number, when you choose to provide them;
- the enquiry type, project type and service area you select;
- your project description, requirements, current systems, integrations, expected users, timeline and other details you choose to submit;
- your business market or country selection where it is relevant to an estimate; and
- your consent to us using the submitted information to respond.
Please do not submit passwords, credentials, financial-account details, government identifiers, health information or other sensitive information through these forms.
3. Contact form
The Contact form asks for your name, email address, the type of conversation you want to start and a short message or project description. Company or organisation and phone number are optional.
We use this information to understand the enquiry, respond using the contact details you provide, maintain a record of the conversation and prevent abuse or accidental duplicate submissions.
4. Get an Instant Estimate
You can receive an estimate result before providing your name, email address or phone number. During calculation, the estimator processes your business-location choice, selected project type and relevant scope answers. The result may include an indicative range, a starting value or a consultation-required outcome, together with the currency, pricing version and a plain-language scope summary.
The selected answers and result are held in server-side session state so the estimate flow can work. They become part of a stored enquiry only if you choose to save or email the estimate, discuss the project or request follow-up. A stored estimate record may contain the project inputs, public pricing outcome, range or starting value where applicable, currency, pricing market, pricing version and a public-safe pricing snapshot, along with the contact information you submit.
Private pricing formulas, weights, margins and internal commercial logic are not included in the stored public pricing snapshot.
5. Ask SoftAnalytics
Ask SoftAnalytics is currently a deterministic website assistant. It does not use a generative AI model to produce its conversation responses or pricing. Estimate results come from the same server-side pricing service used by the full estimator.
Browsing the assistant’s guidance or calculating an estimate does not by itself create an enquiry record. If you choose to send a project note or provide contact details through the assistant, the submitted information may be stored in the shared enquiry database with its source recorded as the assistant.
The assistant does not currently send visitor information to OpenAI, another AI provider, a CRM or WhatsApp.
6. How we use information
We use submitted information to:
- respond to an enquiry or requested follow-up;
- understand the project, service need and likely scope;
- generate and retain an estimate when you ask us to save or discuss it;
- maintain enquiry records and avoid duplicate submissions;
- operate, secure and troubleshoot the website; and
- comply with applicable legal obligations.
The current website does not use submitted information for newsletter or advertising subscriptions.
7. Security and abuse prevention
The website processes limited technical information and server-side state to handle forms safely. This includes session identifiers, CSRF tokens, form timing, honeypot checks, duplicate-prevention identifiers and rate-limit records derived from the connecting network address. Application logs may record a limited event type, submission source, lead identifier or technical exception class when a security, storage or notification error occurs.
These controls are intended to reduce misuse and protect form processing. No website or storage system can be guaranteed to be completely secure.
9. Third-party services and processors
Hostinger is the approved production hosting provider. When the website is deployed there, its infrastructure will host the site, database and related technical records needed to operate the service.
The application contains a notification-email function, but the production email transport and any external mail provider have not yet been finalized. No mail provider is therefore named in this policy. If an external provider is configured, this policy must be updated where required before launch or activation.
The current website does not implement Google Analytics, Meta Pixel, an advertising platform, a CRM integration, a third-party chatbot SDK, a generative AI API or an outbound WhatsApp integration.
10. Data retention and sharing
Enquiry data is retained only for as long as reasonably necessary for business follow-up, record-keeping, security and legal purposes. A formal retention period will be finalized before production launch. Short-lived anti-abuse records are stored separately from enquiry content and are used to enforce submission limits.
SoftAnalytics does not sell enquiry information. Information may be made available only where necessary to operate and host the website, deliver configured enquiry notifications, comply with a legal obligation, or protect the website or business from misuse. The current implementation does not send leads to a CRM, WhatsApp or an AI provider.
11. International access or processing
SoftAnalytics may work with clients in India and internationally. Information may therefore be accessed from the location where SoftAnalytics carries out project communication and business follow-up, and it will be hosted wherever the approved production infrastructure operates. This policy does not make any claim about a particular jurisdiction’s transfer or adequacy framework. Any additional production-provider or cross-border requirements must be reviewed before launch.
12. Your rights
Depending on applicable law, you may have rights to request access to, correction of or deletion of personal information we hold about you. You may also ask a question about how your information is handled. We may need to verify a request before acting on it.
Send privacy requests to contactus@softanalyticssolutions.com.
13. Children’s privacy
This website is intended for business and professional enquiries. It is not designed for children.
14. Changes to this policy and effective date
We may update this policy when the website’s services, providers or data practices change. Material changes should be reflected on this page before or when the relevant functionality is activated.
Effective date: [TO BE CONFIRMED BEFORE LAUNCH]
